As a member of the local Operations team you'll provide general office administration support for our Guernsey office.
Your New Role
This list of duties is not exhaustive and may change from time to time according to business needs:
- Open all post with the exception of strictly private and confidential and any addressed to the Directors or Managing Director which must be delivered to the relevant employees
- Sort, scan and index incoming post and other items
- Deliver previous days post to relevant teams
- Organise, scan and electronically file all documents as required
- Scan and index all bank statements, advices & portfolio valuations when received
- To answer incoming switchboard calls and greet visitors to the office in a timely, efficient and professional manner
- Review and maintain the booking of meeting rooms to ensure efficient usage including the setup & clear up of client meetings as and when required
- Ensure all visitors to the office are logged correctly and given the correct access/office passes where required
- Arrange travel, taxis, hotels, restaurants, etc. for visiting guests and employees
- Regular filing of the pigeon holes on to the permanent and red files, as well as setting up new files for incoming business and new clients and splitting out existing files as and when required
- Maintain a check of all employee absences and produce weekly fire/visitor lists for circulation to relevant parties
- Prepare and maintain a weekly car park rota to ensure that all spaces are utilised correctly and effectively on a daily basis
- Arrange and log conference calls for all employees as and when required using our internal conference meeting rooms
- Check stock regularly and order stationery and kitchen supplies as and when required
- Support other members of the team during busy periods and provide cover during periods of absence
- Any other ad hoc tasks as requested by the line manager
- Ensure compliance with company standards, policies and procedures
What will you need to succeed in this role?
As to be expected, we are searching for someone who can bring a range of skills and experiences to enhance the team. As such, there are a few essential skills we are looking for:
- Strong administration skills
- Excellent attention to detail
- Good communication skills both verbal and written
- Good IT skills with knowledge of Microsoft Word, Excel and Outlook

- The ability to work under pressure adhering to tight deadlines
