The team is responsible for all aspects of transactional documents and the delivery of corporate services, license applications, share transfers, issuance of powers of attorneys and the provision of outsourced company secretariat to our external client companies across the Middle East.
You will act as the first point of contact for our Corporate Services team with client related documents in the UAE and where applicable KSA. You'll work closely with
the Corporate Services Director to deliver group entity maintenance and company
secretariat to the businesses.
Your New Role
This list of duties is not exhaustive and may change from time to time according to business needs:
- Be responsible control the day-to-day functioning of the Corporate Services
Team - Lead, develop and motivate the team to achieve their objectives
• Manage our Client Services team including Client Relationship Executives and Government Liaison Officers and ensure they are successfully delivering against the mandates
- Oversee and manage the delivery of our services including company formations, entity maintenance, corporate service provider activities, company secretariat, inhouse entity maintenance, labour and immigration, advisory, consulting, translation, document processing, license applications, document preparation, and all corporate services
• Continually monitor and improve our client satisfaction - Ensure the service delivery team adheres to deadlines provided by the client delivery scope and/or authorities and manage the tasks and delivery outcome
- Ensure that client requests are done in a timely manner with strong client communication
- Provide client excellence, develop strong relationships with existing clients to ensure retention and build relationships with new clients to identify new business opportunities
• Build extensive partnerships with key stakeholders and in particular the licensing authorities, key governmental department and intermediaries
•Be aware of and manage risk to the business
• Support and work with Head of Operations with any process improvements
• Oversee periodic review / audit of client portfolio to assure the proper and timely administration of internal policies, regulatory requirements, and to maintain quality of work product - Responsible for providing Company Secretarial support to the Equiom Middle East
businesses
• Responsible for drafting transactional documents, reviewing externally prepared documents and ensure risks for services outside of BAU are referred to In House Legal or management
• Responsible for conducting research and writing updates proactively and in support of service lines and in terms of industry updates
• Maintain filing of internal paperwork, ensuring files are in order and regularly reviewed
• Maintaining company registers, memoranda, articles, key incorporation documents, share certificates, minute books, ledgers and important date calendars
• Maintaining a database of up-to-date precedent documents
• Ensure compliance with company standards, policies and procedures
What will you need to succeed in this role?
As to be expected, we are searching for someone who can bring a range of skills and experiences to enhance the team. As such, there are a few essential skills we are looking for:
- 5 + years of PQE in a client facing senior role with a Corporate Service Provider or
Professional Service Provider in the UAE - Company Secretary experience
- Analytical approach to quickly assess client potential and requirements
- Excellent written and spoken English
- Proficient in Microsoft Office
- Team management experience
- Arabic preferred and other language skills (desirable)
- Legal experience (desirable)
- UAE Company Law experience (desirable)
- KSA and Qatar companies law exposure and/or experience (desirable)
