We're looking for a highly organised and proactive Senior Operations Administator to join our Jersey office on a 6-month fixed term contract. This is a key role at the heart of the business, ensuring the smooth day-to-day running of office operations, facilities, and administrative support.
Acting as a central point of contact for colleagues and external stakeholders, you will play an important role in maintaining a professional, efficient, and well-coordinated office environment while supporting senior management and contributing to operational improvements.
Key Responsibilities
This role offers a broad and varied remit across office operations, facilities and team support:
Oversee the day-to-day running of office operations, ensuring a high standard of administrative and operational support
Manage facilities and office services, including liaising with landlords and external service providers
Coordinate filing, post, archiving and records management, ensuring accuracy and compliance
Support the preparation of reports, presentations, and board materials, including budget-related information
Act as a key point of contact for employees, visitors and clients, delivering a professional and welcoming experience
Assist with onboarding new employees, ensuring smooth integration and adherence to company processes
Ensure health & safety and compliance standards are adhered to, including fire evacuation procedures
Identify opportunities to improve processes and drive operational efficiencies
Support operational and business projects, working closely with senior leadership
Act as a key holder for the office
About You
You will be an experienced and capable operations or office professional who thrives in a fast-paced, collaborative environment.
Essential Skills & Experience
Proven experience in an operations, office management, or administrative role within a professional services environment
Strong organisational and multitasking skills with excellent attention to detail
Excellent communication and interpersonal skills
Ability to manage competing priorities and meet deadlines
Proactive, solutions-focused approach with a high level of accountability
Strong working knowledge of Microsoft Office and business systems
Desirable
Experience in a fiduciary, financial services, or multi-jurisdictional environment
Knowledge of facilities management or health & safety practices
